Payment and Refund policy

Deposit Policy
• The deposit is fully non-refundable, except in the following circumstances:
• The DNA test is cancelled by Traveling Genetics due to something on our end.
• The DNA test is cancelled by the laboratory due to something on their end.
• The ordering party cancels the test within 48 hours from the time scheduled.
Payment Requirements
• Full payment, including the mileage fee, must be made on the morning of the test.
• The ordering party will receive a hyperlink to complete the payment.
• If the payment is not received in full, a collector will not be dispatched.
• We do not accept cash payments; only debit or credit cards are accepted.
Refund Policy
• Refunds are not available for deposits unless the conditions stated in the Deposit Policy are met.
• If the DNA test is cancelled by Traveling Genetics, the laboratory, or by the ordering party within the specified 48-hour period, the deposit will be refunded in full.
• No refunds will be issued if the payment is not made on time, and the test is consequently not conducted.
· After testing has concluded, there will be no refunds despite what the results indicate.
Payment Methods
• We accept payments via debit and credit cards only.
• No cash payments will be accepted.
Sample Collection Policy

At Traveling Genetics LLC, we are committed to ensuring that your DNA sample collection process is smooth, efficient, and conducted with the highest standards of care. Below is our sample collection policy to help you understand what to expect.
Scheduling a Collection
• Collections are scheduled at the convenience of the ordering party, considering the availability of our collectors.
• If all parties are not able to be at the same location for testing, mileage fee applies automatically at second location and will need to be collected before testing commences.
Pre-Collection Requirements
• Ensure that you have completed the intake form and provided all necessary information.
• Full payment, including any applicable mileage fees, must be made on the morning of the test. A hyperlink for payment will be provided.
• If the payment is not received, a collector will not be dispatched.
Collection Process
• Our trained collectors will arrive at the scheduled location and time.
• The collector will verify the identity of all parties involved in the test.
• The sample collection will be conducted following strict protocols to ensure accuracy and prevent contamination.
• The collection process typically involves taking a cheek swab or other non-invasive samples (Prenatal testing and Gender Reveal testing)
Post-Collection
• Collected samples will be securely transported to our laboratory for analysis.
• You will receive your results via email and postal mail within 5 business days following the completion of the test.
5. Rescheduling and Cancellations
• If you need to reschedule or cancel the test, please contact us as soon as possible.
· If needing to reschedule, you will be able to do so one time free of charge. Each additional retesting requires $50 rescheduling fee which will apply to your balance before a collector is dispatched.
Result Delivery Policy

Delivery Methods
• Results will be sent via both email and postal mail.
• Ensure that you provide accurate contact information on the intake form to avoid any delays or miscommunication.
Delivery Timeline
• Results will be delivered within 5 business days following the completion of the test.
• In rare cases where additional analysis is required, you will be notified of any delays.
Confidentiality and Security
• All results are handled with the utmost confidentiality.
• Email results will be sent in a secure, encrypted format to protect your privacy.
• Postal mail results will be sent in a sealed envelope to ensure confidentiality.
Accessing Your Results
• You will receive an email notification once your results are ready from the lab.
• The email will contain a secure link to access your results online.
• A hard copy of the results will also be mailed to the address provided on your intake form.

• If you do not receive your results within the specified timeframe, please contact our support team immediately.

Mileage Fee Policy

At Traveling Genetics LLC, we aim to provide convenient and accessible DNA testing services. To cover the costs associated with travel, we have implemented the following mileage fee policy.
1. Applicability
• The mileage fee automatically applies to collections involving more than one location.
2. Fee Structure
• There is no mileage fee for the first 50 miles of travel from our business home address: 2086 Jodeco Road #1039, McDonough, GA 30253.
• For distances beyond 50 miles, a fee of $0.67 per mile will be charged for round-trip travel.
3. Payment of Mileage Fee
• The mileage fee must be paid in full along with the test fee on the morning of the test.
• A hyperlink for the combined payment (test fee and mileage fee) will be sent to the ordering party. If other party is requesting a second location, an invoice will be sent to responsible party.
• If the full payment is not received, a collector will not be dispatched to the appointment.
4. Fee Disclosure
• The total mileage fee will be disclosed to the client at the time of scheduling the appointment.
• Clients will receive a detailed breakdown of the mileage fee along with the payment link.
Late Arrival Policy
Effective Date: June 18th, 2024
At Traveling Genetics LLC, we understand that unexpected delays can occur. To ensure smooth operations and respect for all clients’ schedules, we have implemented the following late arrival policy.
1. Grace Period
• Our collectors will wait for up to 15 minutes past the scheduled appointment time.
2. Communication
• If you anticipate being late, please contact us as soon as possible (404)465-4555 or Travelinggenetics@gmail.com
• Communicating your delay can help us accommodate you better and possibly reschedule within the day.
3. After the Grace Period
• If you do not arrive or are not ready within the 15-minute grace period and have not contacted us, the appointment may be cancelled.
• In the event of a cancellation due to late arrival, the deposit and any mileage fee will not be refunded.
Refund Processing
• Refunds will be processed using the same method of payment used for the original transaction.
• Please allow up to 7 business days for the refund to be reflected in your account, depending on your financial institution.
Combative Situations Policy

At Traveling Genetics LLC, we are committed to ensuring the safety and well-being of our clients and staff. To address and manage combative situations effectively, we have established the following policy.
Zero Tolerance
• We have a zero-tolerance policy for any form of aggression, threats, or combative behavior towards our staff or other clients.
Identification of Combative Situations
• Combative situations may include, but are not limited to:
• Verbal threats or abusive language
• Physical aggression or intimidation
• Refusal to follow instructions in a disruptive manner
• Any other behavior that poses a risk to the safety of our staff or clients
Handling Combative Situations
• Our staff are trained to handle combative situations calmly and professionally. The following steps will be taken:
• De-escalation: Staff will attempt to calmly de-escalate the situation by speaking in a clear and non-threatening manner.
• Safety First: If the situation cannot be de-escalated, the safety of our staff and clients will take priority. Staff may remove themselves from the situation and contact authorities if necessary.
• Termination of Services: Traveling Genetics reserves the right to terminate services immediately if a client or any involved party engages in combative behavior. No refunds will be issued in such cases.
Reporting
• All incidents of combative behavior must be reported to the management immediately.
• A detailed incident report will be completed by the staff involved, documenting the events and any actions taken.
Consequences
• Clients involved in combative situations may be banned from future services with Traveling Genetics.
• Legal action may be taken against individuals who threaten or harm our staff or other clients.
Prevention
• Clear communication: We strive to provide clear and detailed information to our clients to prevent misunderstandings.
• Training: Our staff receive regular training on conflict resolution and de-escalation techniques to handle potential combative situations effectively.
